Privacy policy
Last updated: 9 October 2026
This policy covers the OuDental website, patient portal and OuDental Clinic app. These services support care and administration at OuDental only. OuDental is the clinic responsible for the patient and staff records managed through these services.
Information we handle
The information handled depends on your relationship with the clinic and the features you use. It may be linked to an identifiable staff account or patient record. Staff can access records only within the permissions assigned to their role.
- Contact information: names, email addresses and telephone numbers used for accounts, patient records and clinic communications.
- Health information: dental appointments, treatment plans, treatment procedures and their progress, used to organise and administer patient care.
- Payment information: recorded payment amounts, payment methods, dates and the associated invoice. Recording a payment does not process a bank or card transaction; the Clinic app does not request card numbers, card security codes or bank account credentials.
- Other financial information: invoice references, totals, treatment prices and outstanding balances used for clinic billing and payment administration.
- Purchase history: records of billed dental services and treatments, associated invoices and recorded payments.
- Other user content: information entered by authorised users, such as treatment plan and item names, and document names, categories and visibility settings. Document records currently contain metadata rather than uploaded document files.
- User identifiers: staff and patient account identifiers, patient record identifiers and account roles used to authenticate users, associate records and enforce access permissions.
Staff sign-in sends the entered identifier and password to our server over HTTPS. Passwords are stored as hashes on the server. The Clinic app stores session tokens in the device-only iOS Keychain, rather than storing your password. It validates and refreshes these tokens with our server.
How information is used
Information is used to authenticate accounts, manage appointments and care records, administer invoices and received payments, share clinic records with the associated patient, and protect access to the service. Recording a payment in the Clinic app does not process a bank or card transaction.
These categories support app functionality and clinic administration. The Clinic app does not use them for advertising or tracking users across other companies’ apps or websites.
Service providers and sharing
Our website and API are hosted using Octenium infrastructure. The patient website uses Google Firebase Authentication for enabled sign-in methods. If you choose Google or Facebook sign-in, the selected provider handles authentication under its own privacy policy. The Clinic app uses OuDental staff credentials. Identifiable clinic records are served through authenticated OuDental endpoints and are not made publicly available.
Device storage, cookies and technical information
The website uses cookies for authenticated sessions and your language preference, and browser storage for interface preferences. The Clinic app stores credentials for an authenticated session securely on the device. Our server records operational error information; hosting and authentication providers may process technical information such as request and connection details to operate and protect their services. No advertising SDK or cross-app tracking feature is included in the Clinic app.
Retention and requests
Account and clinic records are retained for the operation of the service and care administration, including applicable recordkeeping requirements. Signing out removes the local session; it does not delete clinic records. To request access, correction or deletion of your account or information, contact OuDental. We may need to verify your identity and explain any records that must be retained before completing a request.
Security
We use HTTPS, authenticated sessions, role-based access and fixed clinic permissions to protect information. Access to patient records is restricted to authorised staff and the associated patient account. No system can guarantee absolute security.
Children and dependent patients
The Clinic app is intended for authorised staff. Patient records may concern children or dependent patients receiving care at OuDental. Please contact the clinic about access by a parent or representative.
